Volunteer Enquiry Forms

On this website there is a Volunteer Enquiry form which uses Microsoft Forms.  This form can be used to contact us about volunteering and records the following personal data:

  • ID Number
  • Name
  • Preferred Name
  • Telephone Number
  • Email address

The form records the following which is not personal data:

  • Start Time (i.e. when the form was opened)
  • Completion Time (i.e. when the form was sent)
  • Volunteer Role

This data is available to you to view and print when you complete the form.  If you have entered an email address, a copy is emailed to you as well.

We have a legitimate interest to process this data.  We will only use the data provided to us to respond to your volunteer enquiry.

The data sent to us is through Microsoft Forms and its servers are based within the European Union.  This data is transferred between the UK and EU in line with the initial adequacy agreement reached between the UK and EU.

Further information

Personal data is held for a period of one year and is then converted into unidentifiable data for monitoring and reporting purposes.  For example, after one year, all responses will have the ID numbers, names, preferred names, telephone numbers and email addresses deleted.  This data will be used to see how many enquiries are received over time and about which roles.

Data is only shared as necessary to respond to your enquiry or where disclosure is required/permitted by law.   If you do not wish your data to be used in this way, do not use this form.  This form is not a requirement for us to respond to volunteer enquiries, and you can contact us by telephone by calling 01382 200422 or emailing [email protected] as an alternative.
